This role reports directly to the Local Manager
Purpose of the Role
This is a vital role within the business, the scheduler/ administrator is responsible for the day-to-day
management of shift allocation ensuring clients receive our services on time and with a regular team. Managing
caregiver availability and holidays is essential as well as understanding their skills and any training needs.
The role includes essential administration functions for the smooth running of the office.
Main Duties, Responsibilities & Accountabilities
Scheduling shifts for caregivers using Birdie in accordance with client needs, carer availability, annual leave and
contractual agreements and skills.
Deal promptly and appropriately with any scheduling queries, concerns or conflicts, including shift
cancellations, non-attendance.
Ensuring the correct invoice rates are applied and clients are invoiced weekly.
Ensuring the correct care pay rates are applied for weekly payroll responsibility.
Attend all internal induction training days to welcome carers, train them on the use of the Birdie App, supply
uniforms and gloves and allocate a team leader and shadow shifts.
Be the first point of contact for telephone calls/messages/correspondence into the office in relation to carers
recruitment, social work. Relaying messages to appropriate people.
Liaise with manager in relation to capacity planning, reviewing current and future resource needs and taking
relevant actions in relation to resource planning to ensure the continued smooth delivery of service to current
and future clients.
Contact clients regarding regular team and ad-hoc carers, their preferences and patterns.
Participating in on-call Rota (1:4 weeks)
Any other ad-hoc or project related duties as required by business needs.
Meetings & Reporting Attend meetings as required by the business. Produce and submit reports as so directed or required by the needs of the business.
Requirements (Essential)
Qualifications in English, IT and Maths at GSCE level or strong results in practical college course or equivalent
experience and knowledge
Relevant previous scheduling experience, ideally within a health & social care setting or similar
Experience communicating over the phone. Excellent communication skills, including written, oral and listening
Basic knowledge of health care terminology and practice
Experience in data entry
Excellent organisational skills
PVG: Member of the PVG Scheme with current full PVG
Driving Licence: Current full UK driving licence, or equivalent country with authority to drive in UK
Requirements (Preferred)
Qualifications in English and Maths at A level or strong results in practical college course or equivalent Level 1
Certificate in Business and Administration or Level 2 diploma in reception operation services
Technical literacy of scheduling software
Basic to intermediate level knowledge of MS products, MS Word, Excel, Outlook, MS Teams
Ability to enter and capture data in a timely and accurate manner including use of care management software
